Terms & Conditions/Commission Policy

Conferences

  1. Notice of cancellation must be given in writing, by fax or email. For confirmed bookings the following cancellation charges will apply:-
  2. (a) Over 42 days notice – No charge
    (b) Over 14 but less than 42 days notice – 50%
    (c) Less than 14 days notice – 100%
  3. Where payment is not made on departure or pre-paid, full payment of any outstanding balance is due within 30 days of completion of the conference.
  4. The client shall be liable for any damage caused by any acts, default or neglect by the client, its agents or its guests.
  5. The hotel shall not be liable for any delay or failure in providing its services as a result of any cause beyond its control such as fire, flood, industrial action or similar.
  6. Notwithstanding the above a reduction in numbers of delegates up to a maximum of 10% may be made without charge when notified in writing more than 14 days before the event.

Accommodation

  1. Notice of cancellation must be given in writing, by fax or email before 4pm on the day of arrival.
  2. If a cancellation is received after 4pm and the room can not be resold then a charge equal to the first nights stay will be levied.

Commission Policy

Paten Hotels recognise the important role which Hotels Booking Agents perform and are able to pay commission on bookings received as detailed below.

We endeavour to pay commission invoices within 21 days of receipt.

In the event of a bill back facility being agreed on behalf of a client the commission due will not be paid until such time as the outstanding invoices have been settled with the hotel.
